Last updated:

Welcome to The Playdate Cafe! By entering our cafe or making a booking, you agree to comply with the following Terms and Conditions. These rules are in place to ensure a safe, clean, and fun environment for all of our guests.

1. Supervision and responsibility

Parental supervision required

Parents, guardians, or accompanying adults remain fully responsible for their children at all times. The Playdate Cafe does not provide childcare services, and staff cannot supervise individual children.

Adult supervision

To ensure safety, we require a responsible adult (aged 18+) to supervise children during their entire visit.

Liability

To the fullest extent permitted by law, The Playdate Cafe accepts no responsibility for any injury, loss or damage arising from your visit, booking, Party or Event.

Nothing in these Terms excludes or limits any liability which cannot lawfully be excluded or limited.

2. Bookings, payments, and cancellations

How your contract with us is made

When you book a table online, including for an Event, you make us an offer. Your contract with us forms when your payment has been successfully received and your booking is confirmed.

Immediately before you pay, we show you these Terms and our Cancellation & Refund Policy. By pressing the payment button you agree to them and agree to pay the amount shown, and we record which versions you were shown and when.

Parties work differently: see Birthday parties below.

The 14-day cancellation period

Table bookings, Event bookings and Parties are leisure services for a specific date or period, so the statutory 14-day right to cancel a distance contract does not apply. Your right to cancel is the one set out in these Terms, our Cancellation & Refund Policy and, for a Party, the Party Terms & Conditions. Your other statutory rights are not affected.

Standard table bookings

Admission for play is paid online when you book a standard table. Food and drink purchases are paid for at the cafe.

Each standard table booking includes a 50p booking fee, shown in the price before you pay. It is kept if you cancel.

Cancellations & lateness

Changes or moves can be made online up to 24 hours before your session. You can cancel online at any time before your session starts. If your booking is within 24 hours and you need to change it, please contact The Playdate Cafe directly.

Cancel at least 48 hours before your session starts and your payment, less the 50p booking fee, will be refunded to the card or wallet you paid with.

If you cancel online, we request the refund straight away. If you ask us to cancel for you, we'll arrange the refund and email you once it has been refunded.

Cancellations made less than 48 hours before your session are not automatically refunded. See our Cancellation & Refund Policy.

Changing your session may change your cancellation and refund rights. The 48-hour cancellation period is calculated from the start time of your new session.

Tables are held for up to 15 minutes. If you don't attend, or arrive more than 15 minutes late without contacting the café, we may release your table. Missed sessions are not refundable, though we may agree otherwise at our discretion.

If we cancel your booking

If we cancel your table booking, or can't provide your booked session, we'll offer you a suitable alternative, which you can accept, or refund everything you paid, including the booking fee.

Contacting the café

Where these terms require you to contact the café directly, you can do so by email at info@theplaydatecafe.co.uk or through our social media channels. A member of staff will respond as soon as reasonably possible, but we cannot guarantee an immediate response.

Waiting for a reply does not extend any deadline in these terms, including the 48-hour refund deadline. You can still cancel a standard table booking online yourself at any time before your session starts.

Birthday parties

Party and private hire bookings have their own Party Terms & Conditions, which you accept on your Party Details form. Accepting them does not by itself confirm your Party: we confirm the date, package and price, you pay the required deposit, and your contract forms when the deposit has been successfully received and your Party is confirmed.

The £50 deposit is applied to the Party price. If you cancel, the deposit is non-refundable, except where required by law or where we agree otherwise. Anything you've paid above the deposit is dealt with under the Party Terms & Conditions.

If we cancel your Party, you can choose an available alternative date or a full refund of everything you've paid. We won't keep your deposit if we cancel. Once your Party is confirmed we won't increase its agreed price unless you've asked for, or agreed to, a change that affects the price.

Event bookings

Event bookings are paid online when you book. If your plans change, you can't refund, change or cancel an Event booking yourself. If there's a problem with your booking or you can no longer attend, please get in touch and we'll be happy to see how we can help. Anything we can offer in that case is at our discretion and is not guaranteed.

If we cancel the event before it starts, we refund the affected bookings in full, including the booking fee. If we materially change the event's date or time and you can't reasonably attend, you can cancel for a refund. If an event has started and can't be completed, we'll offer a reasonable remedy depending on the circumstances, which may be a full or partial refund or another appropriate remedy.

This does not affect your statutory rights. See our Cancellation & Refund Policy.

Events outside our control

We aren't in breach of these Terms if something outside our reasonable control stops or delays us providing a booking, Party or Event. We'll tell you as soon as we reasonably can. This doesn't give us a right to keep money you paid for something we couldn't provide: what happens to your payment is set out in these Terms, our Cancellation & Refund Policy and, for a Party, the Party Terms & Conditions.

3. Health, safety, and hygiene

Socks required

For hygiene and safety reasons, all children and adults entering the designated play areas must wear socks at all times.

Bare feet and shoes are strictly prohibited in these zones.

Illness

To protect our little guests, children who are unwell, or who have suffered from sickness or diarrhoea in the last 48 hours, must not use the play area.

Food and drink

Only food and drink purchased at The Playdate Cafe may be consumed on the premises, apart from the outside food described below.

Outside food: Soft or pouched baby food may be brought into the café for babies, and formula is still welcome. Any other snacks must be agreed with a member of staff in advance so that we can consider potential choking and allergen risks.

Food brought as part of an agreed self-catering private-hire booking follows the rules for that booking.

Please keep all food and drinks at your designated tables; they are strictly banned from the play areas.

4. Behaviour and conduct

Play fairly

Rough play, bullying, or aggressive behaviour will not be tolerated.

Children who are behaving disruptively may be asked to leave the play area.

Respectful environment

We expect all guests — both big and small — to treat our staff, toys, and equipment with respect.

We reserve the right to ask anyone displaying abusive or disrespectful behaviour to leave the cafe immediately, without a refund. This does not affect your statutory rights.

5. Photography and media

Personal photos

You are welcome to take photos and videos of your own children enjoying the cafe.

Please be mindful of other families and try to avoid capturing other children in your shots.

Social media & sharing

To protect the privacy of our little guests, no images or videos featuring other children may be shared online or on social media without the express permission of that child's parent or guardian.

CCTV

For safety and security, CCTV is in operation throughout the premises.
